Message from the Chair

The fall chapter meeting at the Sibley Music Library has nearly receded from memory, but the minutes and reports printed elsewhere in this issue recall to mind the many contributions to that meeting by ourselves and others. We welcomed Jane Gottlieb, Past President of the Music Library Association, who encouraged us to think about ways the chapter could implement some of the goals in the Association’s "Plan 2001," by strengthening our relationships with those in our area who may be dealing with music materials whether or not they think of themselves as music librarians. Kevin Michki did a fine job of eliciting presentations about current programs in three library schools within the chapter. Camille DelVecchio (Penfield Public Library) assessed the distance learning degree at Syracuse University; graduate student Bill Borucki pointed to the double master’s degree program at SUNY Buffalo; and Jane Subramanian (SUNY at Potsdam) shared her experiences of the program at SUNY Albany. Special thanks to Laura Snyder for organizing the demonstrations of various techniques and technologies, and to Philip Carli at the International Museum of Photography for his fine lecture there on the film music collections at Eastman House and at the Eastman School of Music.

At the annual meeting of the Music Library Association in Boston, I was delighted to see Jerry Szymanski attending many of the sessions. The Rochester Public Library had awarded him a travel grant, and he was cutting down on costs by staying elsewhere with friends. This was a fine and enlightened gesture on the part of that Library, which made possible Jerry’s participation at a national meeting as a library school student and paraprofessional. Congratulations to Jerry, and I hope this program can be modeled here and elsewhere in our chapter in another year. Elsewhere you will read Linda Blair’s summary of the Ad Hoc Chapter Committee Open Forum at the Boston meeting. All sorts of chapter projects were reported, with varying degrees of success, at the chapter chairs’ breakfast, including potential mergers (Pennsylvania with the Chesapeake).

 

I am happy to announce that Kevin Michki has accepted the post of Newsletter Editor, as Linda Blair wishes to step down as soon as this issue is in your hands. Linda has been a careful, conscientious, and devoted editor since issue number 29 (Spring, 1994). More importantly, she has been our resident nudge (in the best sense of that word), reminding, cajoling, but also suggesting, and contributing her own good ideas to work of the chapter officers. Linda’s watchfulness and sensible timing has proven to be an essential ingredient of our chapter’s continued health.

It makes good sense for Kevin to assume the editorship, as he is also doing a great job maintaining the chapter’s web site. Although not all our members have access to the web, for those who do, he has created a useful site with easy-to-find files that are sometimes elusive in our manila folders. Between the newsletter, the web site, and the listserv, we should have no trouble keeping in touch with each other.

How about some ideas for making the chapter itself more useful, too? Kevin is starting to work on the long hoped-for directory of libraries and collections in the chapter. We in Rochester are working on a "Rochester music yellow pages" – not the official title, but it is intended to be a directory of music resources in Monroe County. This might be a useful project in other urban areas, too, which we might later link within the chapter. Meanwhile it serves as a meaningful way for us to gather with our colleagues locally more than once a year.

Finally, mark your calendars now: our fall meeting will be at the Buffalo and Erie County Library, on Saturday, October 3rd. Meanwhile, happy and productive summers to you all.

The Ad Hoc Chapter Committee Open Forum

The Ad Hoc Chapter Committee Open Forum at MLA on Friday morning was moderated by Ruthann McTyre, who opened discussion by reporting on some of the results of the Chapter Survey, beginning with outreach programs. Road shows were a major effort of this type, in which chapter members travel to library schools to talk about the benefits of membership. One attendee commented that it would be helpful to point out that chapters can help individual members get grants to attend national meetings. Other projects included librarian exchanges, oral histories, chapter handbooks, Project Semi Breve (an online course in music librarianship), and an online database of translations and phoneticizations of song texts, under the auspices of the Mid-West Chapter web committee.

Common strengths and benefits of chapters were listed. Many respondents noted they were a good way to involve new members. Chapter meetings were also seen as a good setting for continuing education, and there was general agreement that they helped to foster a sense of community. Ruthann announced that Allie Goudy has recently been appointed Education Committee liaison to work with the Chapters on continuing education concerns at the local level.

The last discussion that I was able to hear was generated by a comment from Lois Kuyper-Rushing about the value of having chapter meeting time during the national MLA meeting. SEMLA has done this and they have found it valuable because there are a number of members who attend the national meeting, but for various reasons seldom or never attend the local chapter meeting. There were seconds from the audience, as several admitted that they fit this profile and would be more likely to connect with their chapter if such an opportunity were presented. In the ensuing discussion, however, it became apparent that scheduling would be a major problem. In order for chapter meetings to serve the intended purpose, they would have to be scheduled with no concurrent meetings, the way the system user groups are now, and finding a block of time for this would be very difficult, given the tightness of the existing schedule. At this point, there was a comment from a member of the group that it looks bad for MLA to find time in their schedule for user groups but not for chapter meetings, as it seems to indicate more of a commitment to technology than to people. Unfortunately, this was the point at which I had to leave for the NOTES luncheon, just when things were heating up! A much fuller report by Roberta Chodacki appears in the March-April MLA Newsletter, which also includes additional information about the Chapter survey and the role of Chapters in MLA Plan 2000. Chapter News

A number of chapter members had special responsibilities at the annual MLA meeting which took place in Boston, February 11-15. Jennifer Bowen (Eastman) was a speaker at Plenary Session II: The core of the matter: bibliographic access to music information. Jennifer spoke on Creating a culture of cooperation. Later, at the open meeting of the Descriptive Cataloging Committee, Jennifer reported on the International Conference on the Principles and Future of AACR2, in which she was an invited participant. Jane Subramanian (SUNY Potsdam) created a poster session entitled The SUNY Potsdam experience: Reconversion projects for Crane Music Library. Mary Davidson (Eastman) participated as a panelist in the Ask MLA/MPA session Music publishers and Music Librarians.

Mary Davidson was also the recipient of one of MLA's greatest honors, the MLA Citation "for extraordinary service to the profession of music librarianship" and to the association. The framed citation, in beautiful calligraphy by Tom Costello, cites Mary as "librarian, scholar, mentor, and past President, for her outstanding record of leadership and for her many tireless efforts on behalf of MLA.."

 

Also at the MLA meeting in Boston, Phil Ponella (Eastman), together with former chapter member Deborah Herman-Morgan, were recipients of the Walter Gerboth Award to assist research-in-progress. They will begin a study to examine institutional technology, initiatives and support, the expectations and trends in the information seeking habits of end-users, the anticipated uses of technology in scholarship and professional endeavors, the integration of electronic information sources in bibliographic instruction and provisions for information delivery.

The chapter will also be well represented on the program at the 18th Congress of the International Association of Music Libraries (IAML) in San Sebastian, Spain, in June. Laura Snyder (Eastman) is presenting a paper tentatively entitled, "Making the Transition from Mainframe to Client-server Online Systems," in one of the two sessions put together by Jim Cassaro (Cornell University), Chair of IAML's Cataloguing Commission. Tim Maloney (National Library of Canada) is giving two papers: "Archives and the Internet: The National Library of Canada's Glenn Gould Archive on the WorldWideWeb," on the program of the Archives and Music Documentation Centres Branch; and "The New Canadian Copyright Law/La nouvelle loi canadienne sur le droit d'auteur," in the Working Group on Copyright Law.

News from Sibley Library: In January, Phil Ponella, Head of Public Services, assumed the duties of his new position, Coordinator of Technology for the Eastman School of Music. Phil will be overseeing hardware, software and telecommunications at Eastman for both academic and administrative programs. Phil continues half time at Sibley, until July 1, when his new position will become full time. We have recently completed a successful search for Phil's successor and are pleased to announce that Jim Farrington, currently at Wesleyan University, Middletown CT will be joining us as Head of Public Services in July.

Laura Snyder has also recently taken on new responsibilities, in addition to her position as Head of Technical Services for Acquisitions and Serials. Laura is now serving as Music Bibliographer at the River Campus Rush Rhees Library, selecting materials for that library's collection, to support the program of the River Campus Music Department. It is hoped that with this joint appointment will bring better coordination of the collections of the two libraries to support all aspects of music study at the University of Rochester.

Congratulations to Jennifer Bowen and her husband Mark Schrader on the birth of their daughter, Ann Rachel Bowen Schrader on April 2. Ann's big brother Eddie is 5 years old.

Jane Subramanian (Music cataloger at SUNY Potsdam) recently published an article titled "Patron Attitudes Toward Computerized and Print Resources: Discussion and Considerations for Reference Service," in Reference Librarian, no. 60, 1998. This issue is also being published simultaneously as a mongraph titled "Electronic Resources: Use and User Behavior" by Haworth Press. Jane was also re-elected to a second two year term serving on the Executive Council and as membership chair of Eastern New York Chapter of Association of College and Research Libraries.

From the Editor

With this issue, I retire as Newsletter Editor, having held this post since Spring of 1994. I've appreciated this opportunity to get to know many of you better, and to learn a lot about word processing, e-mail and all sorts of other things along the way. When I produced my first issue, I was communicating via the notoriously cranky UNIX Mail program (aided by the inscrutable Kermit) and uncovering the mysteries of the Reveal Codes key in Word Perfect 5.1. Things are much easier now, thanks to the networked environment and Netscape Mail (no particular thanks, however, to Office 97). I'm pleased to hand over my files and diskettes to Kevin Michki, SUNY Fredonia who becomes our new editor, beginning with the Fall 1998 issue. I've very much enjoyed working with Kevin, in the past few years, and I know he will do a fine job, having already established our Chapter's presence on the Web. The Newsletter has been edited at Sibley for many years, first by Jane Nowakowski, then Laura Snyder before me, and I would like to thank Mary Davidson, on behalf of the Chapter, for supporting us in this endeavor for all these years. Thanks again for the opportunity to serve, and best of luck to Kevin as he moves into his new role.--LB

October 25, 1998 (Summaries by Linda Blair)

 

After coffee, registration and greetings, the day's sessions began with Library Schools within the Chapter: Current programs. Camille DelVecchio (Penfield Public Library) discussed features of the Independent Degree Program at Syracuse University's School of Information Studies. Students in this limited-residency program are required to be physically present at the University for several week-long sessions, but complete the bulk of their work in a distance format, usually communicating via electronic discussion groups. As a graduate of the program, DelVecchio felt that it offered advantages to older adults, who are disciplined, motivated learners, and who need or wish to remain employed during the completion of a degree program. However, she noted some disadvantages as well: students in a distance learning program often fail to achieve a feeling of connection with the school, and they may have greater difficulty gaining access to academic advisors than students in a traditional program.

The next speaker was William Borucki, a student in the Music Librarianship Program offered at the University of Buffalo. This dual degree program, leading to the MA degree in Music History or Music Theory and the MLS in Library Science is a joint program of the Department of Music and the School of Information and Library Studies. It combines intensive course work in music and music librarianship with experiential learning in all areas of academic music librarianship. Borucki praised the program's directors, James Coover and Carol Bradley, noting that the approachability of the faculty as a whole is above average and that members of the Music Library's technical staff are very helpful to students as well.

Finally, Jane Subramanian (SUNY Potsdam) discussed the programs available at SUNY Albany School of Information Science and Policy. SUNY Albany offers an MLS, BA and MS in Information Science, and a combined BA/MLS, which allows for accelerated completion of both degrees. Another program available is a dual masters degree (MA/MLS) in English or History and Library Science, which provides preparation for an archives focus. Beyond the Master's Degree, a Certificate of Advanced Study is offered, 30 credits, post-graduate, which may be used to switch fields, or may be helpful for promotion and tenure.

After the Chapter business meeting and lunch, participants split into small groups for hands-on demonstrations of New and Not so New technologies in use at the Sibley Music Library, led by a number of Sibley staff members. Selections included:

    • Endeavor's Voyager system modules: OPAC, Circulation, Cataloging, Acquisitions (Phil Ponella, Rebecca Richey, Laura Snyder)
    • The Library of Congress Cataloger's Desktop/Classification Plus (Linda Blair)
    • Electronic reference sources, internet and CD-ROM (Phil Ponella)
    • Pamphlet binding and introduction to Sibley's Conservation Laboratory (Alice Carli)
    • Ruth T. Watanabe Special Collections electronic finding aids (Ted Honea)

For the conclusion of the meeting, participants traveled to the George Eastman House, home of the International Museum of Photography for a presentation by film cataloger Philip Carli, on Eastman's Film Music collections. Phil provided an overview of the Eastman House Film Collection, which consists of some 20,000 film titles, together with a large amount of film-related material, and the collection of scores used to accompany silent films which are incorporated into the Eastman School Ensemble Library.

At the time that it opened in 1922, the Eastman Theatre was the 3rd largest motion picture theatre in the United States, and the fine Music Department helped to lend prestige to the undertaking. Musicians hired from New York City had very steady work, playing 6 days a week for films and for the Rochester Philharmonic on Sundays. The director of Schirmer's Galaxy Photoplay film music series was hired to run the ensemble library, and a large collection of music was assembled, much of which is still intact in the Ensemble Library at Eastman. Also intact, at the George Eastman House, is a complete set of programs. Rochester's film music resources have been further enriched by additional materials purchased by Donald Hunsberger, Professor of Conducting and Ensembles at the Eastman School of Music.

Most silent film scores were not through-composed, but were instead assembled from previously existing music, some written especially for this purpose and some from other sources, including standard concert repertoire. Several hundred of the cue sheets used for conducting performances are available in the Eastman House collection.

The days events concluded with selections of some typical film music of the silent period performed by Phil Carli at the piano, followed by a farewell reception.

Minutes of the Business Meeting

October 25, 1997

Kevin Michki opened the meeting at 11:00. There were 27 people in attendance.

1. Laura Snyder announced the schedule for small group sessions in the afternoon.

2. Treasurer's report: Ann Churukian reported that the total funds in the bank as of October 23 were $1,527.99 in the U.S. account and $159.67 in the Canadian account. The number of paid members in 1996-97 was 24; as of October 25, 16 people had paid dues for 1997-98. Since January 1997, the Chapter had received $150.00 in dues income, and had spent $144.16 on newsletters and on sending out overdue dues notices.

3. Election results: Ann Churukian reported that Raya Then won the election for Vice-Chair/Chair Elect; Ann Churukian won for Secretary/Treasurer. Kevin Michki commented that it would be nice to have a larger slate of candidates in the future.

4. Linda Blair announced that she would like to retire as newsletter editor, and called for a volunteer to replace her.

5. Chapter Web page. Kevin Michki has developed the Chapter Web page. It is currently in frames, but he plans to have a version without frames soon. He stressed that it is a work in progress, and invited comments and suggestions.

Rick McRae thanked Kevin Michki for taking the initiative to put the Web site together. Some ideas were put forward for additions to the page, including adding historical information about the Chapter. There was a suggestion to announce its existence on MLA-L, and to get it onto the MLA Clearinghouse.

6. Directory project. Kevin Michki expressed willingness to coordinate the project to create a directory of library resources in the Chapter. Discussion followed about the directory's purpose and scope. It was thought that a print publication would not be useful, and that the directory should somehow be linked to the new Chapter Web page. There was discussion about whether linking to various libraries' home pages would suffice, or whether some other organization might be needed. A need to avoid duplication was expressed.

7. Plan 2001. Mary Wallace Davidson and Jane Gottlieb presented an introduction and background to the development of MLA's Plan 2001. Details have been published in the June 1997 issue of Notes. Discussion followed about the ways in which Chapters can serve their members. Some of the possibilities put forth: the Chapters can provide opportunities to talk to people in similar situations; they can provide opportunities for technical, practical, and philosophical roundtable discussion (although it was pointed out that MLA-L is now facilitating at least some of that discussion); and they can provide opportunities to provide educational meetings, as opposed to informational ones. Discussion about the role of Chapters will continue at an open forum during the national MLA meeting in Boston in February.

8. The location of the next meeting was discussed but not agreed upon. Raya Then tentatively offered Buffalo and Erie County for 1999, but said it would not be possible to meet there in 1998.
